Information we collect

Depending on your enquiry or the service provided, we may collect:

  • Your name, telephone number, email address and organisation.
  • Property addresses, postcodes, access arrangements and appointment details.
  • Information about the property, its construction, condition, occupancy and energy systems.
  • Survey notes, measurements, photographs, reports and supporting documents.
  • Correspondence, quotation, invoicing and payment records.

Please avoid sending information that is not relevant to the assessment or enquiry.

How and why we use it

We use personal information to respond to enquiries, provide quotations, arrange access, complete assessments, issue reports or certificates, manage projects, maintain quality and safety, handle accounts and meet legal or professional obligations.

We generally process this information because it is necessary to take steps at your request before entering into a contract, to perform our contract with you, to meet legal obligations, or for our legitimate interests in operating and improving a professional assessment business.

We do not use enquiry details for unrelated marketing without an appropriate basis and choice.

Who we may share it with

Where necessary, relevant information may be shared with an M13-assigned accredited assessor, trusted subcontractor, accreditation or certification body, project team, property owner or manager, or professional service provider supporting our systems, accounts and legal obligations.

Website enquiry forms are processed for us by Formspree, which provides secure form delivery and spam protection. Form submissions are also delivered to our Google Workspace email account. These providers process information under their own security and data-protection arrangements.

We only share what is reasonably required for the service, project or legal purpose. We do not sell personal information.

How long we keep it

Routine enquiries that do not proceed are normally retained for up to 24 months. Customer, assessment, contractual and financial records may be retained for up to seven years, or longer where an accreditation scheme, legal obligation, insurance matter or active dispute requires it. Information is then securely deleted or anonymised when it is no longer needed.

Website and cookies

We use Google Analytics, with your consent, to understand how visitors use the website and improve its content. Google Analytics is not loaded unless you choose “Accept analytics” in the cookie notice. You can reject analytics and continue using the website normally.

Your choice is stored in your browser so we can remember it. You can withdraw or change your choice by clearing this website’s stored data in your browser, which will show the cookie notice again. Essential hosting and security technologies may still be used to deliver and protect the site.

Email and WhatsApp links open services provided by those companies, whose own privacy terms apply when you choose to use them. The website enquiry form is delivered using Formspree.

Your rights

Depending on the circumstances, you may have rights to access, correct, erase or restrict your personal information, object to certain processing, or request transfer of information you supplied. You can contact us using the details above. We may need to verify your identity before responding.
